Online class system for Sri Lankan institutes: features, cost drivers and timeline

What goes into an online class system for a tuition institute or training centre in Sri Lanka, what makes the price move, and how a project runs from brief to launch.

An institute is not a single tutor with a bigger class. You have several teachers, multiple batches, staff who handle admissions and payments, and parents who want to know how their child is doing. An online class system for that setting needs to model all of it.

This article explains what such a system includes, what drives its cost, and how a typical project runs.

Core building blocks

Users and roles. At minimum: students, teachers and administrators. Many institutes add a parent view and a reception or accounts role.

Batches and classes. Each batch has its own timetable, teacher and material. Students can belong to more than one.

Learning content. Notes, recorded lessons, past papers and assignments, organised by subject, term and class.

Attendance and results. Marked per class, with progress reports students and parents can see.

Fees. Monthly fee tracking, receipts and reminders, with material locked or unlocked based on payment status.

Notifications. SMS, email or WhatsApp reminders for classes, new material and overdue fees.

Admin dashboard. One screen to see enrolments, revenue, attendance and activity across batches.

What drives the cost

We quote each project in writing after a short call, because the same label, "online class system", can mean very different amounts of work. These are the factors that move the price most:

  • The number of user roles and screens.
  • Integrations: payment gateways, SMS providers, video platforms and any existing systems.
  • Whether you need a mobile app in addition to the web platform.
  • Content migration: moving existing notes, recordings and student records.
  • Custom reporting and branding requirements.
  • Ongoing maintenance and support after launch.

Payments can be split into milestone instalments so the cost is spread across the project instead of due on day one.

How a project runs

  1. Discover. A call to understand your classes, your staff's routine and your goals.
  2. Plan. A written proposal with scope, milestones, timeline and price.
  3. Build. Design and development delivered in milestones you review as they are completed.
  4. Launch and handover. Deployment, training for your staff and documentation. You own the finished work once it is paid for.
  5. Support and growth. Optional maintenance, and marketing if you want help filling the platform.

A system like this typically takes two to four months, depending on the factors above.

A pilot before the full rollout

Moving a whole institute at once is risky. Start with one batch or one subject, collect feedback from students and teachers, adjust, then roll out. It costs little extra time and avoids a disruptive launch.

Where to go next

We have built learning platforms for Advanced Level programmes, including one serving over 15,000 students. Read more on our LMS development in Sri Lanka page, or contact us to talk about your institute.
